DJ invoice template

Updated October 2026

A DJ invoice should read like the timeline of the night. Five hours of reception, a short ceremony set, lights if you brought them, and the deposit that kept the date off the calendar for everyone else.

Fictional wedding bill from Marlow Sound. Hours, lights, and the deposit credit are examples so the timeline is easy to read.

Example prices for one wedding reception. Not a package you can buy from this page. Coverage is 5 hours at The Lantern Room on November 21, 2026. Ceremony sound is a separate 45 minutes so it is not quietly absorbed into the reception block. Uplighting is 10 fixtures at an example $22. If the venue already has lights, delete the line. The $400 deposit held the date. This invoice is the rest. The download uses a due date of November 14, 2026, a week before the event. The generator sets the due date 7 days from today so the sample is not already late. Change it. Playing recorded music in public can involve venue licenses. This invoice does not sell those licenses and does not claim you are covered. Check the rules that apply at the room you are playing.

Opening the generator drops in the Hale wedding lines and the deposit credit. It sets the due date a week from today. The file keeps November 14. Your business name is left alone if you saved one.

Put the night on the bill, not in a text thread

Balance a week before you load the car

Marlow Sound collected $400 to hold the date and wants the rest on November 14, seven days before the reception. That is early enough to know the night is real. A caterer billing food by the guest is a different document, the catering template. A photographer billing a gallery is the photographer template. More ways to phrase the due date are on the payment terms page.

Hours, add-ons, and the date hold

Should ceremony sound be inside the reception price?

Only if that is the deal you sold. This sample keeps 45 minutes of ceremony sound at $175 so a couple can see it was not free time stolen from the five reception hours.

How do I show uplighting?

Count the fixtures. Ten lights at an example $22 is clearer than 'lighting package.' If the room already has what you need, take the line off.

What did the deposit pay for?

It held November 21. Four hundred dollars is credited here. The total due is the remainder, not the whole night charged again.

When is the balance due?

A week before the event in the download, November 14, 2026. Waiting until the coat check to collect the balance means you already bought the date.

Does this invoice cover music licensing?

No. It bills your time and gear. Whether the room needs a separate license for recorded music is a venue question. Check the rules that apply there. Do not write 'licensed' on the bill unless you mean something you actually provide.
