Paint bills go wrong when 'the living room' includes whatever the client hoped it included. This sample names the walls, the trim, the prep, the materials, and one color change that already has a date.

Example prices for two rooms. Not a price per square foot and not a crew rate. Walls, trim, and prep are split so a second coat or a fussy door is not hiding inside 'paint the house.' The color change was approved on October 8, 2026, and it is its own line. A verbal 'while you are here, do the ceiling too' does not belong on the bill until it is written down. Paint and supplies are an example materials total, not a brand endorsement. Say the actual gallons on a real job if the client wants to see them. Due 7 days after the walkthrough in this sample. No tax is applied. Add a rate if materials are taxable where you work. Check your state's rules.

Fields that keep the walkthrough honest

  1. Job site, and the rooms, not just the street.
  2. What got two coats, and what was only trim.
  3. Prep described tightly. 'Prep' with no verb is a fight.
  4. Materials either included or listed. This sample lists them.
  5. Color names if you want the next painter to match. The names here are examples.
  6. Any change, with the approval date.

Due a week after they walk the rooms

The sample is issued October 11 and due October 18. That week is for them to look at the walls in daylight, not for a 30-day accounting cycle. A whole-house remodel with draws is the contractor template. A single afternoon of patching a hole is closer to the handyman template. Wording for the due date is on the payment terms guide.

Coats, colors, and what the estimate said

  1. Why not one line that says 'paint the living room'?

    Because prep, walls, and trim take different time. A client who hates the door price can see it. A client who thinks the walls included the ceiling can see that they did not.

  2. How do I bill a color they changed after the estimate?

    As its own line with the day they approved it. October 8, 2026 is on this sample for $80. A change you only remember later is the change you will eat.

  3. Should paint cans be a separate charge?

    If you are passing the material through, yes, and say so. This sample uses one materials line at an example $195. Itemizing every gallon is fine when the client asked for that. Hiding a markup inside the labor rate is the version that feels slippery.

  4. What address goes on the invoice?

    The rooms you painted, which may not be the mailing address. 22 Birch Lane is the job site here. If a landlord pays and a tenant lives there, write both.

  5. Is the dollar amount a price per square foot?

    No. Nothing on this page is a market rate. The two rooms are a shape for the bill. Your number comes from the walkthrough, not from this example.
