Next steps

Your past invoices

Free shows the newest 5 invoices. Older ones stay hidden and come back with Pro. History lives in this browser only. Clearing browser data deletes it. PaidPilot does not keep a copy.

CSV, JSON backup, and the monthly summary are Pro.

How the invoice generator works

You fill the form on the left. The page on the right is the invoice. Download invoice (PDF) opens the browser print dialog so you can choose Save as PDF. PaidPilot does not receive the file.

  1. Add your business, or keep the name already saved in this browser.
  2. Add the client, the lines, a tax percent, and a due date.
  3. Turn on a payment QR only if you want a scan-to-pay code next to the total.

What is saved

If you use the page, it can store a business profile in this browser: name, details, currency symbol, logo, payment methods, paid or unpaid, and the payment QR setting. Downloading an invoice also keeps a copy in this browser's invoice history. Free shows the newest 5. Older invoices stay hidden and come back with Pro. Clearing browser data deletes that history. PaidPilot does not keep a copy. Client names and line items for a trade preset can sit in a session draft until you reload. Routing numbers are not part of this page. The logo must be under 1.5 MB. The currency box is a symbol, not a conversion. Tax is the percent you type.

Limits

There is no account and no monthly cap in the product. The optional "Made with PaidPilot" line starts on. Uncheck it and the line is left off. There is no fee to remove it. A payment QR is off until you enable it. PayPal.Me can include the total. Cash App and Venmo links follow the profile URL those companies document, without an amount added here. Zelle has no universal link, so you paste what your bank gives you.

Need a different starting point? The template pages open this generator with sample lines for a trade. An estimate or a quote can be converted into this form once. A receipt is for money you already have.

A blank invoice, filled in

A new invoice with nothing saved in this browser starts with one empty line and tax at 0. Say you add Consulting services at quantity 10 and $120, and Setup & onboarding at quantity 1 and $250. The subtotal is $1,450.00. The invoice number counts up from INV-1001. Download invoice (PDF) opens the browser print dialog. PaidPilot does not receive the file.

Tax is the percent you type, times that subtotal. At 8 percent, tax is $116.00 and the total is $1,566.00. The page does not look up a rate. The currency box is a symbol, starting at $, and it does not convert money.

Questions

Where does the PDF come from?

Download invoice (PDF) opens the browser print dialog so you can choose Save as PDF. PaidPilot does not receive the file.

Does the client email send a reminder?

No. PaidPilot never sends email. With Pro, Email to client opens your own mail app with the invoice number, total, due date and pay link filled in, and you press send.

Is there a monthly cap?

No. There is no account and no monthly cap. The optional PaidPilot line can be turned off.

Where do an estimate and a receipt fit?

An estimate or a quote can be copied into this form once. A receipt is for money you already have. If the invoice is already late, the late-payment kit is a PDF and a Word file. Trade starting points are on the template pages.
