Straight answers from how the site actually works. PaidPilot does not give legal, tax, or banking advice.
Is PaidPilot free?
Yes. The invoice generator, estimate maker, receipt maker, check maker, check register, calculators, templates, and guides are free. The site has no paid plan and no account upgrade.
Do I need to sign up?
No. There is no account, no login, and no email required to download a PDF.
Where is my data stored?
In your browser. The pages do not upload what you type. If you want, the generator saves a business profile in localStorage under the key pu_inv: business name, details, currency symbol, logo, payment methods, and paid or unpaid status. The check register can stay in this browser when its save box is checked. A theme choice is saved as pp_theme. Routing numbers and account numbers are not saved.
How do I get a PDF?
The invoice generator opens your browser's print dialog. Choose Save as PDF. The estimate maker, receipt maker, and check tools build the PDF in the browser and download the file. The file is not sent to PaidPilot.
Can I add a logo?
Yes, on the invoice generator, the estimate maker, and the receipt maker. The generator accepts an image under 1.5 MB. The image stays in the browser. If you save the business profile, the logo is part of that local save.
How do taxes work?
There is a tax percent field. Tax is that percent of the subtotal after a discount line, when you added one. The site does not look up a sales-tax rate and it does not file a return.
Which currencies does it support?
The currency box is a symbol. It starts as $. You can type another symbol, such as € or £. PaidPilot does not convert one currency into another.
Is there a watermark?
The generator has a checkbox, Include "Made with PaidPilot" on the invoice. It starts checked. Uncheck it and that line is left off. The choice is stored in this browser as pp_show_brand. The estimate and receipt makers use the same checkbox. There is no fee to turn the line off.
Can I calculate a late fee?
Yes. The late fee calculator takes an invoice amount, a due date, a paid date, grace days, and either a flat fee, a monthly percent, or an annual rate. You can use simple interest or compounding. It shows the days late, the fee, and the new total, plus a line you can copy onto an invoice. Late fee limits vary by state and by contract. The page does not list state caps, and it is not legal advice.
Can I make an estimate or a quote?
Yes. The estimate maker has line items, tax, a discount, a valid-until date, terms, and a logo upload. You can download a PDF. Convert to invoice copies those lines into the generator through localStorage and opens generator.html?from=estimate. The generator reads that handoff once, then deletes it. The generator has no separate discount field, so a discount becomes a negative line.
Can I make a receipt?
Yes. The receipt maker is for a payment already received. It includes a payment method, a paid date, line items, tax, and a PDF download. A receipt does not replace the invoice that asked for payment. See invoice vs receipt.
Can I print a check?
Yes, on your own account, with the check maker. There are 10 designs, a front and a back, and a PDF sized for letter paper at actual size. SAMPLE stays on the check until you confirm the account is yours and the routing number passes the checksum. Routing and account numbers are not stored and are not sent. Many banks accept home-printed checks and some want magnetic MICR toner. Ask your bank. This is not a promise that a deposit will clear.
Does it work on a phone?
Yes. The tool pages stack on a narrow screen. Print styles hide the form so the document, not the buttons, is what prints.
Is there a dark mode?
Yes. The theme button stores light or dark in this browser. If you have not chosen, the site follows your device.
What does the site count about usage?
Pages load Vercel Web Analytics for page views. Buttons can also send an anonymous event name, such as invoice_pdf_downloaded or late_fee_calculated, plus a short label like a template id or a file format. The event code only allows those labels. It does not send amounts, names, routing numbers, or account numbers. See the privacy page.
