An HVAC invoice has to survive the next service call. The tech who shows up in July needs the serial, the filter size, and whether a diagnostic was already credited. This sample is a cooling repair that did all three.

Read the credit before you copy it
The diagnostic is on the invoice and then taken off, because this story's customer is a plan member and the repair happened on the same visit. If you waive the diagnostic only when they approve the repair, say that in the note and delete the credit when they do not. If they decline, the honest bill is the diagnostic alone.
Due at the end of the visit
Nothing on this sample waits for a statement cycle. The truck is still in the driveway when the total is due. Refrigerant handling is regulated. Check the rules that apply to your shop, and do not treat two example pounds as a target charge. A one-year note on the labor is in the sample only as wording you must edit to match the promise you make.
What the next tech will look for
- Make, model, and serial of the unit you touched.
- Filter size, so the next visit is not a guessing game.
- Refrigerant type and the pounds added, if any were added.
- Whether a diagnostic or a plan credit changed the total.
- The part you installed, marked new if it is new.
Diagnostics, refrigerant, and maintenance plans
Should the diagnostic fee come off if they approve the repair?
Only if that is the offer you made. This household is on a maintenance plan in the story, so the $95 diagnostic is listed and then credited. A customer who is not on the plan would keep the diagnostic. Delete the credit line for them.
How do I list refrigerant?
Type and pounds, on their own line. This sample says 2 pounds of R-410A at an example price. That quantity is not a recommended charge for any real unit. Write what you actually added.
Where do make, model, and serial belong?
In the job block, not in a text message you will not find next summer. The sample unit is a made-up Northwind NW-36, serial EX-36001, and the filter size is there too.
How does a maintenance plan show up?
As a credit with a reason. Here the reason is that a current member does not pay the diagnostic. If the plan also includes a filter, do not also charge for the filter.
What if they decline the repair after you diagnose it?
Delete the parts and the labor and leave the diagnostic. The credit exists in this sample only because they are members and the repair went ahead. A declined repair is a shorter invoice, and it is still a real one.
