Plumbing invoices fail when the trip, the hours, and the tank are one number. This sample is a daytime water heater swap: a trip fee, hours at the daytime rate, the tank and the small parts, a permit, and haul-away.

Put these where a callback can find them
- Job site address. People move. The address does not.
- License number in your business details.
- Trip fee, and whether the first hour is inside it. Here it is not.
- Daytime versus after-hours, by using the rate that matches the visit.
- The fixture, marked new, with a model if you have one.
- Small parts: valve, vent, fittings. They are how you trace a leak later.
- Permit fee if you pulled a permit, passed through or marked up, but labeled.
- Haul-away, if you took the old tank.
- A warranty sentence you are willing to keep.
Due when the water is back on
This job is billed the day it is finished. There is no net-30 float on a tank the household is already using. Cards, checks, and cash are the sample methods. Tax is left at zero so you can set the rate your jobs actually need. Parts tax is not the same everywhere. Check your state's rules before you add a percent because another plumber's invoice had one.
Trip fees, after-hours rates, and permits
What is the trip fee paying for?
Showing up. On this sample it is $89, and the labor hours sit on top of it. If your trip fee already includes the first hour, do not also bill that hour. Say which version you use before you roll the truck.
How do I bill an after-hours call?
Use a different labor rate, not a mysterious extra at the bottom. This invoice is the daytime rate, $115 an hour. An emergency rate in the same fictional shop would be $165 an hour. That second number is an example, and it is not a line on this bill.
Where does the license number go?
With your business details, so it shows under your name. The sample shop uses EX-PL-1001 on the download. The generator will not paste that over a license you have already typed.
Should the permit be its own line?
Yes, when you pulled one and you are passing the fee through. This sample shows $55 with no markup. A markup is allowed if you said so. Hiding the permit inside labor makes the next leak harder to explain.
What warranty sentence is safe?
Only the promise you will stand behind. The note on this sample offers one year on the install and leaves the tank on the manufacturer warranty. Delete it if that is not your offer. Do not copy a warranty from another shop's invoice.
