Cleaning invoice template

Updated October 2026

Cleaning invoices split into two habits. Homes pay for a visit and maybe an oven. Offices pay for a month, a PO, and a stack of visits nobody at the front desk personally watched. Both are on this page. Only the office is the file you can download.

The download: a September office account

Example prices

Fictional commercial month from Maple and Birch Cleaning. The visit price and the supply total are examples, not a rate card for dental offices.

Example prices for a commercial cleaning month. Not a route rate. This invoice is the September office account: four weekly visits, a restock, one kitchen detail, and supplies kept separate so the client can see them. PO 4419 belongs on commercial bills. The lockbox code stays on your private work order, not on an invoice that gets forwarded around an office. Billed on the 1st for the month that just ended. Due in 15 days. House-clean pricing is a different example on the template page and is not loaded here. Cancellation: if you charge for a locked-out visit or a late cancel, write the window in the service note before you need it. This sample has no cancel fee.

The generator opens the Bright Hall month: four visits, the restock, the kitchen detail, supplies, and PO 4419. Your company name stays as you saved it.

A different example: one house visit

Example prices

This home bill is not the PDF, Word file, or generator preset. It is here so a house cleaner can see add-ons without pretending they are the dental office.

Biweekly home clean, one visit$140
Inside the oven$40
Inside the fridge$25
Due when you leave$205

Client in this side example: the Ellis apartment. No PO. No monthly count. Pay at the door.

What each kind of client needs to see

On the office bill

  • How many visits, and which month.
  • The PO, if they issued one.
  • Add-on work, like the after-hours kitchen, as its own line.
  • Supplies, if they are not inside the visit price.
  • No door codes.

On the house bill

  • The cadence, such as biweekly, and the date you were there.
  • Add-ons named: oven, fridge, inside windows.
  • Who let you in, kept off the invoice if it is a code.
  • Whether you are paid that day.

Net 15 for the office, same day for the home

Bright Hall is billed on the 1st for the month that just finished, due in 15 days, because an office pays from a queue. The apartment example is due when you walk out. Mixing those terms on one invoice confuses both clients. Recurring billing, as a habit, is also covered on the recurring invoice page.

House cleans and office accounts

What changes between a house clean and a commercial invoice?

A house bill is often one visit, paid when you leave, with add-ons like an oven. A commercial bill is often a month of visits plus a PO, paid by an office that did not watch you work. The big sample on this page is the office. The smaller one is a home.

How do I bill a route that repeats every week?

Count the visits. This office was cleaned four times in September, at an example $85 a visit, instead of a vague monthly fee that hides a missed week. If you sell a flat monthly rate, say flat monthly and say what a missed visit does.

Should supplies be included in the visit price?

Either way works if you say which. This commercial sample lists paper, liners, and glass cleaner at $28 so the client can see them. Folding supplies into the visit is fine when that is the quote. Do not do both.

Where do keys and alarm codes belong?

On your private work order, not on an invoice that gets forwarded through an office. The sample says the code lives on the work order and leaves the digits off the bill.

Can I charge when they cancel the visit?

Only if you told them the window ahead of time. A locked-out trip or a same-morning cancel can be a fee, but debuting that fee on the invoice is how you lose the account. This sample has no cancel line.
